About This Document

Welcome to The Lookout Cave Underground Motel.

This document sets out the Terms & Conditions that apply to all reservations and stays at our property. It has been prepared to provide clear expectations for both our guests and our team, helping to ensure every stay is enjoyable, transparent and professionally managed.

These Terms & Conditions explain your rights and responsibilities, together with those of The Lookout Cave Underground Motel, in relation to reservations, payments, cancellations, guest responsibilities and the use of our accommodation and facilities.

By making a reservation, providing payment details, checking in or occupying accommodation at The Lookout Cave Underground Motel, you acknowledge that you have read, understood and agree to these Terms & Conditions.

Nothing in this document excludes, restricts or modifies any rights you may have under the Australian Consumer Lawor any other applicable legislation.

These Terms & Conditions have been prepared to create a fair, transparent and enjoyable experience for both our guests and our team. They help set clear expectations before arrival, protect everyone’s interests during your stay and ensure we can continue providing the high standard of accommodation our guests expect.

By making a reservation, providing payment details, checking in, entering the property or occupying accommodation at The Lookout Cave Underground Motel, you acknowledge that you have read, understood and agree to these Terms & Conditions.

Nothing in these Terms & Conditions excludes, restricts or modifies any rights you may have under the Australian Consumer Law or any other applicable legislation.

 

1. Definitions

For the purpose of these Terms & Conditions:

Accommodation means all motel rooms, family rooms, apartments, dugouts and associated facilities operated by The Lookout Cave Underground Motel.

Arrival Date means the scheduled check-in date shown on your booking confirmation.

Booking means any reservation made directly with the Motel or through an authorised third-party booking platform, online travel agent, travel agent, corporate account or reseller.

Departure Date means the scheduled check-out date shown on your booking confirmation.

Guest means every person staying at, visiting or using the booked accommodation or property facilities.

Management means the owners, managers and authorised representatives of The Lookout Cave Underground Motel.

Motel means The Lookout Cave Underground Motel, Coober Pedy, South Australia.

Property means all buildings, accommodation, grounds, car parks, common areas, facilities and external areas owned or operated by The Lookout Cave Underground Motel.

Reservation means a confirmed booking for accommodation at the Motel.

Security Deposit means any pre-authorisation, bond or amount held or charged to cover incidental charges, damage, missing items, additional cleaning or other charges permitted under these Terms & Conditions.

 

2. Interpretation

These Terms & Conditions apply to all reservations made directly with The Lookout Cave Underground Motel and through third-party booking providers, unless otherwise stated in a written agreement.

The person making the reservation is responsible for ensuring all guests, visitors and members of their party are aware of and comply with these Terms & Conditions.

Headings are included for convenience only and do not affect the interpretation of these Terms.

Words importing the singular include the plural and vice versa.

Where these Terms state that Management “may” take an action, this means Management has discretion to determine the appropriate outcome in the circumstances.

Management will administer these Terms & Conditions reasonably, fairly and in good faith, taking into account the individual circumstances of each situation where appropriate.

 

3. Entire Agreement

These Terms & Conditions, together with your booking confirmation and any written correspondence issued by The Lookout Cave Underground Motel relating to your reservation, constitute the agreement between the Guest and the Motel unless otherwise agreed in writing.

Any special arrangements, exceptions, credits, refunds, date changes or variations to these Terms must be confirmed in writing by Management.

4. Reservations, Payments & Credit Card Guarantee

4.1 Reservation Confirmation

A reservation is considered confirmed once:

  • a booking confirmation has been issued by The Lookout Cave Underground Motel or an authorised booking provider;

  • a valid credit or debit card has been provided (where required); and

  • any applicable deposit or prepayment requirements have been satisfied.

All reservations remain subject to these Terms & Conditions.

 

4.2 Third-Party Bookings

These Terms & Conditions apply to bookings made:

  • directly with The Lookout Cave Underground Motel;

  • through our website;

  • via telephone or email;

  • through Online Travel Agents (OTAs) including Booking.com, Expedia, Hotels.com and similar providers;

  • through travel agents;

  • through corporate travel providers; and

  • through tour operators,

unless an alternative written agreement has been entered into between the Motel and the booking party.

Where a booking is made through a third-party provider, the cancellation conditions of both the booking provider and The Lookout Cave Underground Motel may apply. Where there is any inconsistency, Australian Consumer Law and any applicable contractual obligations will prevail.

 

4.3 Credit Card Guarantee

A valid credit or debit card is required to secure all reservations unless otherwise agreed by Management.

By providing payment card details, the Guest confirms that:

  • they are authorised to use the card;

  • the card details provided are accurate and current;

  • sufficient funds or available credit will be maintained where payment is due; and

  • they authorise The Lookout Cave Underground Motel to process charges permitted under these Terms & Conditions.

Management reserves the right to verify payment details before arrival where reasonably necessary.

4.4. Security Deposit (Bond)

To cover incidental charges, damages or additional cleaning costs, a refundable security deposit is required at check-in.

A valid government-issued photo ID matching the name on the credit card may also be required at check-in.

The following security deposits apply:

  • $100 per motel room

  • $150 per apartment

Security deposits can only be secured using a valid Visa or MasterCard credit card. Cash, debit cards, EFTPOS cards, prepaid cards, digital wallets or other forms of payment are not accepted for security deposits.

The security deposit will be released after check-out, subject to:

  • the accommodation being left in a reasonable condition;

  • no damage to the room, furnishings or motel property;

  • all room keys and access devices being returned; and

  • no outstanding accommodation, incidental or cleaning charges.

Where damage, excessive cleaning, missing items or additional charges are identified, The Lookout Cave Underground Motel reserves the right to deduct the applicable amount from the security deposit. If the total charges exceed the amount of the security deposit, the registered guest remains responsible for paying the outstanding balance.

Please note that the release of security deposits may take several business days to appear on your credit card account, depending on your card issuer or financial institution.

 

4.5 Payment Authorisation

By confirming a reservation, the Guest authorises The Lookout Cave Underground Motel to charge the nominated payment card for:

  • accommodation charges;

  • applicable taxes;

  • booking administration fees;

  • cancellation fees;

  • payment processing fees (where applicable);

  • security deposits or bonds (where applicable);

  • authorised incidentals;

  • additional accommodation charges;

  • damage or excessive cleaning charges;

  • replacement of missing or damaged property;

  • unpaid balances; and

  • any other amounts authorised under these Terms & Conditions or agreed to by the Guest.

Where practical, guests will be notified before additional charges are processed. However, this does not limit the Motel's right to recover authorised charges where notification is not reasonably possible.

 

4.6 Payment Schedule

Unless otherwise stated in writing:

  • full payment will be automatically processed five (5) days prior to the scheduled Arrival Date;

  • bookings made within five (5) days of arrival may be charged immediately;

  • promotional, advance purchase or special rate bookings may have different payment conditions, which will be advised at the time of booking.

It is the Guest's responsibility to ensure sufficient funds are available when payment is due.

 

4.7 Declined or Invalid Payments

Where payment cannot be successfully processed, The Lookout Cave Underground Motel may:

  • contact the Guest to obtain updated payment details;

  • request an alternative payment method;

  • suspend or cancel the reservation if payment is not received within the requested timeframe; or

  • decline check-in until outstanding amounts have been paid.

Management is under no obligation to hold accommodation where payment requirements have not been met.

 

4.8 Fraud Prevention

The Lookout Cave Underground Motel reserves the right to verify the identity of the cardholder and request reasonable evidence of payment authorisation where fraudulent activity is suspected.

Reservations believed to be fraudulent or made using unauthorised payment methods may be cancelled immediately and referred to the appropriate authorities where necessary.

 

4.9 Payment Disputes & Chargebacks

If a Guest believes a payment has been processed incorrectly, they should contact The Lookout Cave Underground Motel as soon as reasonably possible so the matter can be investigated and resolved.

The Motel is committed to resolving genuine payment concerns promptly and fairly.

Guests agree not to initiate a chargeback where the payment has been processed in accordance with these Terms & Conditions or the applicable booking agreement.

Nothing in this clause limits a Guest's legal rights to dispute an unauthorised or incorrect transaction under Australian law.

Where a chargeback is initiated, The Lookout Cave Underground Motel reserves the right to provide the Guest's booking records, payment authorisations, correspondence and these Terms & Conditions to the relevant financial institution as evidence supporting the transaction.

 

5. Cancellation, Amendments & Refunds

5.1 Cancellation Policy

Cancellation periods are calculated from 2:00 pm (ACST/ACDT) on the scheduled Arrival Date.

Unless otherwise stated in writing or specified as part of a promotional, prepaid or non-refundable rate:

One (1) or Two (2) Night Stays

  • Cancellations made more than two (2) days prior to the scheduled Arrival Date will receive a refund of any accommodation charges paid, less any applicable booking administration fees and non-refundable payment processing fees, where permitted by law and disclosed prior to booking.

  • Cancellations made within two (2) days of the scheduled Arrival Date will incur a cancellation fee equal to the first night's accommodation.

Three (3) Nights or More

  • Cancellations made more than three (3) days prior to the scheduled Arrival Date will receive a refund of any accommodation charges paid, less any applicable booking administration fees and non-refundable payment processing fees, where permitted by law and disclosed prior to booking.

  • Cancellations made within three (3) days of the scheduled Arrival Date will incur a cancellation fee equal to the first night's accommodation.

 

5.2 Booking Amendments & Date Changes

We understand that travel plans can change and will always endeavour to assist where reasonably possible.

Requests to amend a reservation are subject to availability.

Changes requested outside the applicable cancellation period will generally be made without charge.

Changes requested within the applicable cancellation period may incur:

  • a booking administration fee as published by the Motel from time to time;

  • any applicable non-refundable payment processing fees;

  • any increase in accommodation rates applicable to the new booking dates.

Where a booking is transferred to new travel dates, the revised reservation becomes subject to the rates, Terms & Conditions and cancellation policy applicable to the new booking.

Special promotional, prepaid or non-refundable bookings may not be eligible for amendment.

 

5.3 No Shows & Late Arrival Notification

A reservation will be considered a No Show where:

  • the Guest does not arrive on the scheduled Arrival Date;

  • no late arrival arrangements have been approved by the Motel; and

  • the Guest has not contacted the Motel by telephone to advise of a delayed arrival before Reception closes.

 

Guests expecting to arrive after Reception closing time (8:00pm/20:00) must contact the Motel by telephone before Reception closes to arrange a late arrival.

Email, SMS, social media messages, online messaging platforms or voicemail messages are not considered appropriate methods for advising of a same-day late arrival or delayed check-in. During busy reception periods these communication channels are not continuously monitored, and urgent requests may not be seen or actioned in time.

 

Where a reservation is treated as a No Show, The Lookout Cave Underground Motel may:

  • charge the applicable cancellation fee;

  • cancel the remaining reservation;

  • release the accommodation for resale; and

  • decline any future request for compensation relating to the unused accommodation.

Guests arriving after Reception has closed without prior telephone arrangements may be unable to check in until Reception reopens. Where Management agrees to facilitate an after-hours check-in without prior arrangement, an after-hours call-out fee may apply.

 

5.4 Early Departures

Accommodation charges apply for the full period reserved.

No refund or credit will be provided for early departures, unused nights or reductions in the length of stay after check-in, unless required under Australian Consumer Law or otherwise approved by Management in writing.

 

5.5 Refunds

Where a refund is payable, it will generally be processed to the original payment method used for the reservation.

Refunds may be reduced by:

  • applicable cancellation charges;

  • booking administration fees;

  • non-refundable payment processing fees incurred by the Motel;

  • authorised charges under these Terms & Conditions,

where permitted by law and where these charges have been disclosed prior to booking.

Refund processing times are dependent upon the Guest's financial institution and payment provider and are outside the control of The Lookout Cave Underground Motel.

 

5.6 Travel Disruptions

The Lookout Cave Underground Motel understands that unexpected events can affect travel plans.

Travel disruptions may include, but are not limited to:

  • illness or injury;

  • COVID-19 or other communicable illness;

  • vehicle breakdowns;

  • road closures;

  • flight delays or cancellations;

  • severe weather conditions;

  • personal or family emergencies;

  • changes to work commitments; or

  • other unforeseen circumstances.

These events do not automatically entitle a Guest to a refund outside the applicable cancellation policy.

Guests are strongly encouraged to obtain comprehensive travel insurance to protect against unexpected travel disruptions.

 

Where appropriate, Management may, at its sole discretion, offer:

  • a booking amendment;

  • alternative travel dates;

  • a reservation credit; or

  • another reasonable solution

subject to availability, any applicable administration fees and any difference in accommodation rates.

Each request will be considered on its individual circumstances. Any exception made by Management is made as a gesture of goodwill and does not create an obligation or precedent for future bookings.

 

5.7 Guest Booking Responsibility

Guests are responsible for carefully reviewing their booking confirmation upon receipt, including:

  • arrival and departure dates;

  • room type;

  • number of guests;

  • rates and booking details; and

  • any special requests or arrangements

Any errors or discrepancies should be reported to The Lookout Cave Underground Motel as soon as reasonably practicable.

The Motel cannot accept responsibility for losses, charges or other consequences arising from incorrect booking information that is not brought to its attention before the applicable cancellation period expires.

 

6. General terms for occupancy

  • By making a reservation and staying at The Lookout Cave Underground Motel, the registered guest agrees to these Terms and Conditions and accepts responsibility for all occupants and visitors associated with the booking.

  • The registered guest agrees to pay all accommodation charges, together with any additional goods, services or charges incurred during the stay. Any outstanding amounts not settled at departure, including damages, cleaning charges or incidental expenses identified after check-out, may be charged to the credit card provided at the time of booking or check-in, where permitted by law.

  • For extended stays, interim accounts may be issued and are payable when presented.

  • The registered guest remains personally liable for all outstanding amounts unless prior written payment arrangements have been approved by management.

  • Guests must notify reception of any change to the number of occupants. Additional charges may apply where the number of guests exceeds the occupancy included in the booking.

  • Rooms and facilities are provided in good working order and guests agree to report any faults or maintenance issues as soon as reasonably practicable.

  • Guests are responsible for their own money, valuables, vehicles and personal belongings while staying at the property. To the extent permitted by law, The Lookout Cave Underground Motel accepts no responsibility for loss, theft or damage unless caused by our negligence or where liability cannot legally be excluded.

  • Accommodation is provided for private residential use only. Guests must not operate a business, provide goods or services to the public or conduct commercial activities from their room or elsewhere on the property without prior written approval from management.

  • A booking grants guests a temporary licence to occupy the room for the agreed accommodation period only. It does not create a residential tenancy or confer any rights under residential tenancy legislation.

  • Guests must comply with all applicable laws and any reasonable directions given by management during their stay.

6.1 Check-in and Check-out

Standard check-in is from 2:00 pm on your scheduled arrival date unless otherwise agreed by management.

If you request an early check-in that requires your room to be held vacant the previous night, an additional night's accommodation charge may apply.

Standard check-out is by 10:00 am on your scheduled departure date unless a late check-out has been approved by management.

Late check-outs are subject to availability and must be arranged with reception prior to departure.

Guests who remain in their room after 10:00 am without prior approval may incur the following late departure charges:

  • $30 for the first hour (or part thereof); and

  • $50 for each additional hour (or part thereof).

Where a late departure prevents the room from being serviced and made available for incoming guests, management reserves the right to charge up to the full nightly room rate.

6.2 Guest Conduct and Right to Remove Guests

The registered guest is responsible for the conduct of all occupants and visitors associated with their booking.

Guests must not behave in a manner that interferes with the comfort, privacy, safety or enjoyment of other guests, visitors or staff.

The Lookout Cave Underground Motel reserves the right to refuse service or require guests and all members of their party to leave the property immediately where they, or anyone associated with their booking:

  • cause excessive noise or unreasonable disturbance;

  • behave in an abusive, aggressive, threatening or offensive manner;

  • engage in unlawful or dangerous activities;

  • are affected by alcohol or drugs to the extent that their behaviour creates a nuisance or safety risk;

  • damage motel property;

  • permit excessive visitors or unauthorised gatherings; or

  • fail to comply with these Terms and Conditions or reasonable directions from management.

Where a guest is required to leave due to a breach of these Terms and Conditions, no refund will be provided for any unused portion of the booking, to the extent permitted by law.

 

6.3 Incidentals and damages

  • The registered guest is responsible for any loss or damage caused by themselves, members of their party or their visitors.

  • Charges may apply for damage to rooms, furniture, fixtures, fittings, equipment, lost or unreturned keys or access cards, or any property requiring repair or replacement.

  • Where damage prevents a room or apartment from being rented, guests may also be liable for reasonable repair costs, loss of accommodation revenue and reasonable costs associated with relocating incoming guests.

6.4 Excessive Cleaning 

Rooms must be left in a reasonable condition.

Additional cleaning charges may apply where excessive cleaning is required due to, including but not limited to:

  • bodily fluids (including blood, vomit or other biohazards);

  • excessive rubbish;

  • food or drink spills;

  • excessive dirt or mud;

  • misuse of linen, towels or furnishings; or

  • any condition requiring specialised cleaning.

Where items cannot be cleaned, replacement costs may also be charged.

6.7 Smoking and Vaping Policy

The Lookout Cave Underground Motel is a 100% smoke-free and vape-free property indoors.

Smoking and vaping are only permitted in designated outdoor smoking areas.

As our underground rooms are carved into natural sandstone, smoke and vapour odours can be absorbed into the rock, requiring specialised cleaning and potentially making the room unavailable for future guests.

Evidence of smoking or vaping inside a room will incur a minimum cleaning charge of $250.

Where smoking results in the room being unavailable for future bookings, guests may also be liable for additional cleaning costs, loss of accommodation revenue and reasonable costs associated with relocating incoming guests.

 

6.8 Pet Free Policy

  • The Lookout Cave Underground Motel is a pet-free property, except where otherwise required by law (such as certified assistance animals).

  • Because sandstone naturally absorbs odours, unauthorised animals may result in extensive cleaning requirements.

  • Evidence of an unauthorised animal in a room may incur a minimum cleaning charge of $250.

  • Where an animal causes damage, persistent odours or prevents the room from being rented, guests may also be liable for additional cleaning costs, repairs, loss of accommodation revenue and reasonable costs associated with relocating incoming guests.

6.9 Lost Property Policy

  • The Lookout Cave Underground Motel takes reasonable care of items found on the property; however, we cannot guarantee that lost property will be recovered.

  • Items found in guest rooms or common areas will be recorded and placed in our Lost Property storage.

  • If you believe you have left an item behind after your stay, please contact Reception as soon as possible on (08) 8672 5118 or email info@thelookoutcave.com.

Collection

  • Claimed items may be collected in person from Reception during office hours (8:00 am – 8:00 pm).

Returning Lost Property

  • If you would like your item returned:

By Post - Please send a prepaid Australia Post satchel or parcel to:

  • The Lookout Cave Underground Motel
    PO Box 79
    Coober Pedy SA 5723

  • Once received, we will package your item using the prepaid postage supplied and lodge it with Australia Post.

By Courier/Freight - Guests are responsible for arranging and paying for their preferred courier or freight company to collect the item from the motel. Collections should be arranged within 7 days of confirming the item has been located.

Storage Period

  • Lost property will be held for 30 days from the date it is found. After this time, any unclaimed items may be donated, recycled or disposed of at the Motel's discretion.

  • For health and hygiene reasons, perishable food, opened drinks, toiletries and other consumable items will be disposed of immediately.

  • The Lookout Cave Underground Motel accepts no responsibility for unclaimed lost property after the 30-day holding period.

7. Property Use, Care & Guest Conduct

7.1 Respect for the Property

The Lookout Cave Underground Motel has been carefully designed to provide a unique underground accommodation experience for all guests.

 

We ask all guests to respect the accommodation, shared facilities and surrounding property by treating them with reasonable care and consideration throughout their stay.

Guests are responsible for ensuring that members of their party and any approved visitors also comply with these Terms & Conditions.

 

7.2 Noise & Consideration for Other Guests

To help maintain the peaceful atmosphere of the Motel, guests are asked to keep noise to a reasonable level at all times.

 

Particular consideration should be given to other guests between 9:00 pm and 8:00 am.

Excessive noise, offensive behaviour or conduct that interferes with another guest's enjoyment of the Motel may result in Management requiring the behaviour to cease or, in serious cases, terminating the stay.

7.3 Smoking & Vaping

For the comfort, health and safety of all guests, all guest accommodation, underground rooms, apartments and indoor common areas are strictly non-smoking and non-vaping.

 

Smoking or vaping is permitted only in designated outdoor areas where provided.

Evidence of smoking or vaping inside accommodation, including odours, ash, cigarette butts or damage resulting from smoking, may result in additional cleaning, deodorising, repair costs and temporary loss of accommodation while the room is restored.

These costs may be charged to the Guest in accordance with these Terms & Conditions.

7.4 Damage to Property

Guests are expected to take reasonable care of the accommodation and Motel property during their stay.

 

Any accidental damage should be reported to Reception as soon as reasonably practicable.

Where damage, loss or excessive soiling occurs beyond normal wear and tear, the Guest may be held responsible for the reasonable cost of repair, replacement or additional cleaning.

Management will act reasonably in assessing any costs and may provide supporting evidence where appropriate.

7.5 Excessive Cleaning

Accommodation should be left in a reasonably clean and tidy condition upon departure.

 

Additional cleaning charges may apply where accommodation requires cleaning significantly beyond the standard required following normal guest use.

Examples may include, but are not limited to:

  • excessive rubbish;

  • stains requiring specialist treatment;

  • food waste left throughout the room;

  • smoke odours;

  • bodily fluids requiring specialist cleaning;

  • failure to clean self-contained kitchen facilities where required under these Terms & Conditions.

 

Where possible, Management will provide photographs or other supporting evidence of excessive cleaning requirements.

 

7.6 Illegal or Dangerous Activities

Guests must not engage in any illegal, dangerous or antisocial behaviour while on the Motel property.

 

This includes, but is not limited to:

  • illegal drug use;

  • violence or threatening behaviour;

  • theft;

  • intentional property damage;

  • possession of prohibited weapons; and

  • behaviour that places the safety of guests, visitors or staff at risk.

 

Management reserves the right to immediately terminate a stay and notify the appropriate authorities where required.

7.7 Emergencies & Maintenance

Guests should immediately report:

 

  • maintenance issues;

  • safety hazards;

  • water leaks;

  • electrical faults;

  • damage;

  • security concerns; or

  • emergencies.

 

Prompt reporting assists us in protecting both guests and the property while helping us resolve issues as quickly as possible.

 

7.8 Lost Keys & Access Devices

Guests are responsible for any room keys, access cards or key safe devices issued during their stay.

 

Lost or unreturned keys, access devices or security equipment may incur a reasonable replacement or reprogramming charge.

Guests should notify Reception immediately if keys or access devices are lost or misplaced.

7.9 Compliance with Reasonable Directions

Guests must comply with all reasonable directions given by Management relating to:

 

  • guest safety;

  • emergency situations;

  • security;

  • maintenance;

  • the comfort of other guests; and

  • the operation of the Motel.

 

Failure to comply with reasonable directions may constitute a breach of these Terms & Conditions.

7.10 Respecting Our Underground Environment

The Lookout Cave Underground Motel is built within the natural sandstone of Coober Pedy and forms part of the town's unique underground heritage.

Guests are asked to help preserve this special environment by respecting the natural rock formations and Motel infrastructure throughout their stay.

For the safety of guests and the protection of the property, guests must not:

  • climb on exposed rock faces or retaining walls;

  • interfere with ventilation shafts, air vents or underground infrastructure;

  • tamper with utility services or safety equipment;

  • remove rock, sandstone or other natural materials from the property; or

  • intentionally damage or alter any part of the underground structure.

 

The underground environment is one of the unique features that makes a stay at The Lookout Cave Underground Motel so memorable. We appreciate your assistance in helping us preserve it for future generations to enjoy.

8. Self-Contained Apartments & Underground Living

8.1 Additional Conditions for Self-Contained Accommodation

The Lookout Cave Underground Motel offers a selection of self-contained apartments and dugouts designed for guests seeking additional space and facilities during their stay.

These accommodation types include fully equipped kitchens and additional amenities that require extra care throughout your stay.

Guests staying in self-contained accommodation agree to comply with the additional requirements set out in this section.

 

8.2 Kitchen Facilities

Kitchen facilities are provided for the convenience of guests.

Guests are expected to use all cooking appliances, utensils and equipment responsibly and leave them in a clean and tidy condition upon departure.

Please ensure:

  • dishes are washed, dried and returned to cupboards;

  • ovens, cooktops and microwaves are cleaned after use;

  • food is removed from refrigerators and cupboards;

  • rubbish is placed in the bins provided; and

  • spills are cleaned promptly.

 

8.3 Departure Expectations

Our housekeeping team works hard to prepare every apartment to the high standard expected by arriving guests.

Before departure, we kindly ask guests to:

  • wash, dry and put away all dishes and cooking utensils;

  • empty the refrigerator of perishable food;

  • place rubbish in the bins provided;

  • leave the apartment in a reasonably clean and tidy condition; and

  • report any accidental damage before departure.

 

Normal housekeeping is included in your accommodation rate.

Where an apartment requires cleaning significantly beyond that expected following normal guest use, additional cleaning charges may apply in accordance with these Terms & Conditions.

 

8.4 Extended Stays

Apartments are not serviced daily unless otherwise specified.

Guests staying for seven (7) nights or more will receive a complimentary mid-stay service unless otherwise advised.

Additional servicing may be arranged upon request and may incur an additional charge.

8.5 Cooking & Safety

Guests are welcome to prepare meals within their apartment.

Please take reasonable care to minimise cooking odours, avoid excessive smoke and ensure cooking appliances are switched off after use.

For safety reasons:

  • cooking appliances must not be left unattended while in operation;

  • candles, portable cooking appliances and open flames are not permitted inside the accommodation unless supplied by the Motel.

 

8.6 Apartment Contents

Guests are responsible for the apartment contents provided during their stay.

Where kitchen equipment, furnishings, appliances or other items are damaged, removed or missing following departure, Management may recover the reasonable cost of repair or replacement in accordance with these Terms & Conditions.

 

8.7 Sustainable Underground Living

Living underground is one of the things that makes Coober Pedy—and The Lookout Cave Underground Motel—so unique.

The natural sandstone surrounding the accommodation provides excellent insulation, helping to maintain comfortable temperatures throughout the year while reducing the need for heating and cooling.

As a business operating in remote South Australia, we also recognise the importance of using our natural resources responsibly.

We kindly ask guests to:

  • switch off lights when leaving the accommodation;

  • use heating and cooling responsibly;

  • conserve water wherever reasonably possible; and

  • help us reduce unnecessary waste.

Small actions make a meaningful difference and help us preserve our environment while ensuring future guests can continue to enjoy the unique experience of underground living.

9. Safety, Security & Emergency Procedures

9.1 Guest Safety

The safety and wellbeing of our guests, visitors and staff is a priority at The Lookout Cave Underground Motel.

 

Guests are expected to take reasonable care for their own safety and the safety of others throughout their stay and to comply with all reasonable safety directions provided by Management.

If you identify a safety concern or hazard during your stay, please notify Reception as soon as possible so appropriate action can be taken.

 

9.2 Fire Safety

For the safety of all guests:

  • emergency evacuation information is displayed within the accommodation;

  • guests should familiarise themselves with the nearest emergency exits upon arrival;

  • fire safety equipment must not be tampered with or misused;

  • emergency exits, corridors and access-ways must be kept clear at all times.

 

Any misuse of fire safety equipment may result in additional charges and may be reported to the relevant authorities.

 

9.3 Emergencies

In the event of an emergency, guests should:

  1. Contact Emergency Services by dialling 000 where immediate assistance is required.

  2. Notify Reception as soon as it is safe to do so.

  3. Follow the directions of emergency personnel and Motel Management.

 

Guests should not place themselves or others at unnecessary risk.

 

9.4 CCTV & Property Security

For the safety and security of our guests, staff and property, CCTV cameras operate in selected external areas and public spaces throughout the Motel.

CCTV is used for:

  • security;

  • guest and staff safety;

  • incident investigation;

  • crime prevention; and

  • protection of Motel property.

 

CCTV does not operate inside guest accommodation.

Images may be retained and disclosed where required by law or for the investigation of incidents affecting the Motel, its guests or staff

 

9.5 Guest Vehicles & Parking

Undercover and on-site parking is provided for the convenience of guests.

While The Lookout Cave Underground Motel takes reasonable care to provide a safe and welcoming environment, vehicles and their contents remain the responsibility of their owners.

To help protect your vehicle and personal belongings, we recommend that guests:

  • lock their vehicle whenever it is unattended;

  • remove or securely store valuables and personal belongings out of sight;

  • ensure all windows, doors and canopies are securely closed and locked; and

  • report any suspicious activity or security concerns to Reception as soon as reasonably practicable.

 

The Lookout Cave Underground Motel will not be responsible for loss of or damage to vehicles or their contents unless required by law.

9.6 Lost Property

Guests should ensure they have collected all personal belongings before departure.

Items found after departure will be recorded and retained for a reasonable period in accordance with the Motel's Lost Property procedures.

Where requested, the Motel will make reasonable efforts to return lost property. Packaging, postage, courier and insurance costs are the responsibility of the Guest.

Perishable items, opened food, personal hygiene products and items considered unsafe may be disposed of immediately.

9.7 Dangerous Goods

Guests must not bring onto the Motel property any item that may present an unreasonable risk to the safety of guests, staff or the property.

This includes, but is not limited to:

  • explosives;

  • flammable or hazardous chemicals;

  • illegal substances;

  • fireworks;

  • dangerous weapons; or

  • any item prohibited by law.

 

Management reserves the right to require the immediate removal of such items or to contact the relevant authorities where appropriate.

9.8 Reporting Incidents

Guests are encouraged to report any incident, accident, injury, damage or security concern to Reception as soon as reasonably practicable.

Prompt reporting assists the Motel in responding appropriately, protecting guests and staff, and investigating incidents where necessary.

  • the conduct of all persons included in their reservation and any approved visitors;

  • any damage, loss or excessive cleaning resulting from their actions or those of their visitors;

11.4 Circumstances Beyond Our Control

While every effort will be made to honour confirmed reservations, The Lookout Cave Underground Motel will not be responsible for delays, interruptions or an inability to provide accommodation where caused by circumstances beyond our reasonable control.

These circumstances may include, but are not limited to:

  • natural disasters;

  • bushfires;

  • floods;

  • severe weather events;

  • public health emergencies or pandemics;

  • government directions or restrictions;

  • utility failures;

  • industrial action;

  • acts of terrorism;

  • civil unrest; or

  • any other event beyond the reasonable control of the Motel.

 

Where reasonably possible, we will work with affected guests to provide an appropriate alternative or assist in finding a practical solution.

 

11.5 Changes to These Terms & Conditions

The Lookout Cave Underground Motel may amend these Terms & Conditions from time to time to reflect changes in legislation, business operations or guest services.

Unless required by law, the version applying to a reservation will generally be the version in effect at the time the booking is confirmed.

Any dispute relating to a reservation or stay at The Lookout Cave Underground Motel will be determined in accordance with the laws applicable in South Australia.

 

11.7 Severability

If any provision of these Terms & Conditions is found to be unlawful, invalid or unenforceable, the remaining provisions will continue to apply to the fullest extent permitted by law.

 

11.8 Waiver

If The Lookout Cave Underground Motel chooses not to enforce any provision of these Terms & Conditions on one occasion, this does not prevent the Motel from enforcing that provision or any other provision in the future.

 

11.9 Entire Agreement

These Terms & Conditions, together with the Motel's Payment Policy, Cancellation Policy, Privacy Policy, any additional accommodation terms and the written booking confirmation issued by The Lookout Cave Underground Motel, constitute the entire agreement between the Guest and the Motel regarding the reservation and accommodation.

 

11.10 Resolving Concerns

We are committed to providing excellent customer service and resolving concerns fairly, respectfully and in good faith.

If a guest has a concern regarding their reservation, payment or stay, we encourage them to contact Reception or Management as soon as reasonably practicable so we have the opportunity to investigate and, where appropriate, resolve the matter promptly.

Our aim is always to resolve concerns directly and amicably before formal dispute resolution processes become necessary.

 

11.11 Written Confirmations

To avoid misunderstandings, guests should rely on their written booking confirmation, these Terms & Conditions and any written correspondence issued by The Lookout Cave Underground Motel when making travel decisions.

While our team is always happy to assist with enquiries and provide information, verbal discussions, estimates or informal advice do not amend these Terms & Conditions or the Guest's reservation unless confirmed by the Motel in writing.
